Welcome to BoxGrove Country Retreat. By booking with us or using our services, you agree to the following Terms and Conditions, which are designed to ensure a safe, respectful, and enjoyable experience for all guests. These terms apply to all weddings, events, accommodation, and on-site experiences. These are the terms and conditions for all services listed at boxgrove.com.au and rest.boxgrove.com.au

Weddings and Events

Booking Confirmation

A booking is confirmed upon receipt of a 35% deposit. The remaining balance must be paid no later than 14 days prior to the event or stay.

Guest numbers for events must be finalized 7 days before the event date.

Cancellation Policy

Deposits are non-refundable upon cancellation.

Cancellations within:

8 weeks of the event: 50% of the total contract amount will be charged.

14 days of the event: 100% of the total contract amount will be charged.

Postponements are subject to fees based on the time of notice:

10+ months: No fee

6–10 months: $500 fee

2–6 months: $1,500 fee

Postponements due to COVID-19 are exempt from fees.

Children

Children must be supervised at all times, particularly on decks and other elevated areas. BoxGrove accepts no responsibility for injuries sustained due to lack of supervision.

Cleaning and Damages

A cleaning fee may apply if the premises are left in an unacceptable condition, as determined by management.

Guests are liable for any loss, damage, or theft of BoxGrove property. Damaged or missing items must be replaced within 48 hours, or charges will be debited from the credit card on file.

Guest Conduct

Guests must respect the property, staff, and other patrons.

Smoking is only permitted in designated areas.

Excessive noise must be avoided to comply with our sound management plan.

Liability

BoxGrove is not liable for loss, theft, or damage to personal property brought onto the premises, including car parks.

BoxGrove accepts no responsibility for damage to goods, equipment, or merchandise left on-site before, during, or after events.

Weddings and Events

Alcohol

BoxGrove is a fully licensed venue, and all alcohol must be served by RSA-qualified staff provided by BoxGrove.

Alcohol consumption is restricted to designated areas and is prohibited outside the venue or in on-site accommodation during events.

BoxGrove reserves the right to remove intoxicated or disorderly individuals from the property.

Event Spaces

Venue capacities:

The Deck: 120 seated, 190 standing overflow

The Rose Garden: 150 seated, 190 standing overflow

The Barn: 192 seated, 350 cocktail-style

Sound and Security

Sound levels will be monitored, and adjustments may be made to ensure compliance with noise restrictions.

Security is required for events with more than 180 guests, organized at BoxGrove's discretion.

Accommodation

Self-Check-In

Details for self-check-in will be provided prior to arrival. Guests are expected to review this information carefully.

Use of Accommodation

On-site accommodation is for registered guests only. Guests are not permitted to access or remove items from other accommodations.

Quiet Hours

To respect all guests, quiet hours are observed from [time].

Experiences

E-Bike Hire

Guests renting e-bikes must wear helmets at all times.

BoxGrove accepts no responsibility for injuries, damage, or accidents sustained while using e-bikes. Guests must follow provided routes and use bikes responsibly.

Land Rover Tours

Guests participating in Land Rover tours must follow all instructions provided by guides.

BoxGrove is not liable for any injuries, accidents, or incidents occurring during the tour, including those resulting in death.

Waiver of Liability

Participation in e-bike hire or Land Rover tours is at guests' own risk. By booking these experiences, guests acknowledge that BoxGrove is not responsible for any injuries, damages, or loss of life resulting from participation.

Housekeeping

Smoking is permitted only in designated areas.

Guests are expected to leave all spaces tidy and dispose of waste in designated bins.

Intellectual Property and Website Use

All content on the BoxGrove websites is the property of Frathouse Holdings Pty Ltd and may not be copied or reproduced without permission.

Changes to Terms and Conditions

BoxGrove reserves the right to amend these Terms and Conditions at any time. Guests will be notified of any significant changes affecting their bookings.

Marketing & Data Privacy

SMS and Email Marketing

By providing your contact information, you consent to receiving marketing communications from BoxGrove Country Retreat, including SMS updates and email campaigns about promotions, news, and special offers.

All marketing communications are managed securely through Mailchimp, a trusted platform compliant with industry data protection standards.

Data Security

BoxGrove is committed to protecting your personal information. All data collected, including contact details, is securely stored and used solely for the purposes of improving your experience and communicating relevant updates. We do not share your information with third parties without your explicit consent.

Opt-Out Policy

Guests are free to opt out of SMS or email marketing at any time by clicking the "unsubscribe" link in emails or replying "STOP" to SMS messages.

Opting out will not affect your ability to receive essential communications related to your booking or stay.
